OpenProject vs YouTrack

A source-aware comparison of pricing, documented capabilities and workflow fit.

Short answer

These lines are generated from the pricing we track, not from a paid placement. How we score tools.

What OpenProject is

OpenProject is open-source project management with a free Community edition you can self-host, and paid Enterprise tiers that add feature add-ons and, crucially, a support level with published service hours. The detail that decides the real cost is not the per-user price but the minimum user count attached to each tier: the cheapest paid plan bills for at least twenty-five users whatever the size of your team, so a six-person group pays the same as a twenty-five-person one. Support hours widen tier by tier, and the Corporate tier adds a named engineer and onboarding.

What YouTrack is

YouTrack is JetBrains' issue tracker and project management tool, usable for agile boards, bug tracking, helpdesk and a knowledge base in one workspace. Its query language is the part regular users notice: issues are filtered with a search syntax rather than nested dropdowns. The commercial shape matters more than the feature list for small teams — YouTrack Cloud is free for teams up to 10 users with the full feature set, not a stripped-down tier, which makes it unusually cheap to start with compared with per-seat trackers.

Choose OpenProject if

  • Small teams and self-hosters: the Community edition is free with no user minimum at all
  • Organisations of 25 or more needing a support contract — Basic is €5.95 per user per month with email support
  • Teams needing phone support, which begins on Professional at €10.95 per user per month
  • Construction teams, since the BIM module is a published add-on at +€1.00 per user

Skip OpenProject if

  • Your team is under 25 people: the cheapest paid tier still bills a 25-user minimum
  • You need installation and upgrade assistance, which starts on Premium with a 100 user minimum
  • You want support outside European business hours; every tier publishes Mon-Fri CET windows
  • You need openDesk or Nextcloud Hub single sign-on, which are Corporate with a 250 user minimum and a quote

Choose YouTrack if

  • Teams of 10 or fewer — YouTrack Cloud is free at that size with no feature cuts
  • Shops already using JetBrains IDEs that want the tracker in the same ecosystem
  • Teams that prefer a query language to nested filter menus

Skip YouTrack if

  • Your team is just over 10 people — the free tier ends there and billing starts at $5.40/user/mo monthly ($4.50 annual)
  • You want a tracker your whole company already knows; Jira has far wider adoption
  • You need the free helpdesk beyond 3 agents

  • Support hours and channels are published per tier
  • Self-hosted and cloud both offered, with 14-day trials
  • Paid tiers carry 25, 100 and 250 user minimums
  • Per-user price billed in increments of five users
  • Corporate tier is quote-only

YouTrack: pros & cons

  • Query language is genuinely powerful

  • Free tier for small teams
  • Query power means a learning curve
  • Interface density can overwhelm

Our verdict on OpenProject

The free edition is the real product for small teams. Paid tiers only make sense once you actually have the minimum headcount — below it you are buying seats you do not use.

Our verdict on YouTrack

Underrated and capable. Its obscurity is the main practical drawback.
